Objective of this section
The Portfolio module represents the highest level within smenso. All projects of a company or organizational unit are collected, managed, and analyzed here. The portfolio provides a quick overview of the status, phases, project progress, and other key metrics of all construction projects.
Structure and navigation
The portfolio can be displayed in smenso in two views:
- as a list view (tabular with details)
- or as a board view (visually grouped, e.g. by service phases)
Both views access the same project information and differ only in their presentation.
Board view
The board view groups all projects – by default according to the HOAI service phases (0–9). Each column represents a service phase:

In the board, you can switch between the views
All projects,My projects, or saved filters. This allows project management and project control to keep an overview of their responsibilities at all times.
List view
The list view provides a detailed tabular overview of all projects. Typical columns include:

Tip
In the list view, you can customize columns, show or hide them, and save your own views – e.g. “ongoing projects LP5–7” for recurring portfolio reports.
Navigation and operation
Open project
Clicking on the project title opens the respective project and switches directly to its detail view.
Alternatively
- Using the three dots
(…)to the right of the project name, you can openManage projectto view the master data without opening the project.
Filter and group projects
- Projects can be filtered by phases, status, type, or budget using filter bars.
- Groupings (e.g. by project management, service phase, or portfolio assignment) help bundle similar projects.
Project master data
The project master data contains the basic information for identification and categorization. Examples:

The master data screen also displays flavors – custom fields that can be individually defined.
Flavors (custom fields)
Flavors are freely configurable additional fields that can be used to extend projects individually. Examples:

Note
Flavors can be created as text, number, list, checkbox, date, email, formula, or relation – providing maximum flexibility.
Filters, views, and evaluations
Filters
All flavors and standard fields can be used as filters, e.g.: Show all projects from the “Infrastructure” portfolio with status “active”.
Views
Custom views can be saved and named, e.g.: “Infrastructure portfolio – active projects”.
Export / analysis
Portfolio data can be exported for reports or strategic analyses (Excel, PDF, smenso dashboards).
Project permissions
In smenso, each project can be authorized individually:
- User-based: Access for specific individuals
- Role-based: Access via defined team roles (e.g. site management, project control, client)
Note
Permissions apply not only to the project itself, but also to all associated content (tasks, files, contracts, etc.).
Best practices
- Combine board and list views: Visualization (board) and data analysis (list) complement each other perfectly.
- Save your own views: e.g. “Projects in LP6–8 with budget deviation > 10 %”.
- Use flavors strategically: This allows portfolios to be built for different organizational units.
- Maintain projects via master data: not only in submodules – this ensures consistent data.
- Update regularly: Only current phase statuses and budgets lead to reliable evaluations.

Practical tip
The portfolio module is often used for management reports or investment overviews, as it provides an immediate assessment of the overall status of all construction projects.
