AI Insights are also available for the project portfolio. Instead of analysing a project's tasks, the Insight analyses the projects themselves, such as their status, costs and phases. This article shows how to create a portfolio Insight and how it differs from an Insight in a project. Everything else, such as widget types, instructions, the widget editor, colour scheme and presentation, works the same way as in AI Insights.
Please note
The prerequisite is that AI is enabled in the workspace and that you are allowed to view AI features. The Insights tab is currently labelled Beta. The number of credits used by a portfolio Insight depends, among other things, on the number of projects (see How AI credits work).
Create a portfolio Insight
- Open
Projectsfrom the main menu and select theInsightstab. - Choose what the Insight should be based on:
-
Description(“Tell the AI what you want to see”): In theWhat would you like to see?field, describe the analysis you want, for example “Budget and actual costs per phase” or “Projects with critical status”. All active projects are used as the basis. TheFinances,DatesandStatustemplates insert a sample instruction in which you replace the placeholders in square brackets. You can attach an image usingAttach. -
List view(“Calculates based on a saved view”): Select a portfolio view, such asDefault view. The number of fields and entries is shown below; each project counts as one entry.
-
- Click
Suggest with AI. Alternatively, start withStart blankwithout a suggestion and describe the widgets individually afterwards. - Review the suggestion and click
Save. Only saved Insights can be reopened and edited later.
When there are many projects, creation may take some time. The fields used by the Insight for its calculations are shown below the title—in this case, project fields such as Overall status, Cost status, Date status, Goal status, Project folder, Progress, Actual costs, Planned costs and Project end. The values for overall status, cost, date and goal status come from the projects' status reports.
Differences from an Insight in a project
-
Entries are projects: Numbers, filters and tables refer to projects instead of tasks. One example is the distribution of the projects'
Overall statusor a table of critical projects. -
Mission Control is not available in the portfolio: Mission Control is intended only for the tasks of an individual project. If you ask “Add Mission Control” in the portfolio, smenso points this out and instead suggests another widget (
Yes, implementorCancel). Mission Control itself is not created in the portfolio. -
Widgets can only be published from the project: The widget editor for a portfolio Insight does not have a
Publishbutton. Individual widgets can only be published from an Insight in a project and then added to the project overview or the home area. - Tables: In portfolio table widgets, you cannot click a project row to open the project.
-
Insights: The widget is called
Portfolio insightshere. It behaves as it does in the project, with references to the source widgets,Last created onandRefresh. -
Storage: In the
Saved Insightslist, portfolio Insights appear under theProject portfoliogroup. - Long lists: When there are very many projects, a list in the dashboard shows only the first entries, for example with the message “First 20 shown”.
Widgets in the portfolio editor
Widgets can also be customised in the portfolio using Edit Insight. The Edit widget panel offers the familiar settings for each widget type, such as Numbers in legend, Colours, Bar height and Corners for a distribution. You can change or add filters using Change with AI.
Note
The Insight only calculates based on projects that you have access to. A portfolio Insight may therefore differ from person to person.
Presentation and more
You can also create a presentation for a portfolio Insight; see Presentation from AI Insights. The colour scheme, explanations below the widgets (Explain widgets) and findings work the same way as in the project.

FAQ
How do Insights differ from Analysis in the portfolio?
Analysis shows fixed widgets with cross-project metrics. With Insights, you describe what you want to see, and AI designs the dashboard based on that. You can then customise it.
Why can't I use Mission Control in the portfolio?
Mission Control shows the status of an individual project and calculates based on its tasks. It is not available in the portfolio. To use it, open an Insight in the respective project.
