With Expand project with AI, you can add new folders, tasks and milestones to an existing project, for example another phase, recurring appointments or a risk analysis. The AI knows the project and only plans what is new. You first see the expansion as a suggestion and decide what to add to the project. This article explains how to start the expansion, what the AI creates from it and how to review the suggestion.
Please note
AI project expansion is one of the AI features. It is available when AI is enabled in the workspace and you are allowed to view AI features. The menu item is labelled beta. Creating a suggestion uses credits; see How AI credits work. The AI can make mistakes. Review the suggestion before applying it.
Expand project with AI
- Open the project.
- Click the three-dot menu next to the project name and select
Expand with AI.
The Expand project with AI dialogue opens with the question “What should be added?”. The accompanying note says: “Describe the expansion or upload a plan. The AI knows the project and only plans what is new.”
Two options, as when creating a project
As with AI project creation, select the option at the top:
-
Design from scratch(“From description, images, PDFs, CSV”): Describe in the text field what should be added and have the AI design it. UseAttachto provide files as context. -
Use plan(“Structure from files or text”): Upload a plan or insert it as text, and the AI will use it to add the new parts. The article on project creation specifies which file types are allowed.
Click Continue to start planning. The option Use people responsible from the plan if they clearly match people, teams or roles is enabled by default.
Templates
Two templates below the text field insert example input:
-
Add phase: a new phase with a name, objective, time period, optional “Follows” (an existing phase or task that must be completed beforehand), folder, tasks, participants and special details. -
Recurring appointments: example input for recurring appointments in the project.
Replace the placeholders in square brackets with your own details. A counter in the text field (“9 placeholders remaining”) shows how many placeholders are still open. You can also replace the template entirely with your own request, for example “Add a post-event phase with sharing photos, collecting feedback from guests and creating the invoice, in September 2027.”
Review the suggestion
Conflicts in the plan
If the details do not match, the AI shows the “Plan with open points” step before displaying the suggestion. Under Conflicts in the plan, it shows where sources contradict each other, for example if the requested time period does not match the time period of the existing project. The note says: “The sources contradict each other here. If the plan is used, these details will remain blank.” Choose:
-
Back to input: Correct your input. -
Design a new one instead: The AI designs a new suggestion. -
Use anyway: The AI uses the plan; the conflicting details remain blank.
What will be added
While the AI is planning, a progress indicator (“Planning expansion”) is displayed. The What will be added step then appears. The note says: “Anything that already exists in the project is marked and will not be added twice. You can still apply it by clicking it.”
You edit folders, tasks and milestones here just as you do in the project plan during project creation: You can sort them using drag & drop, delete entries, regenerate individual folders and tasks with Regenerate, convert tasks into milestones, show descriptions and add your own folders with Add folder. Dependencies are shown with an icon and number; the skill chips indicate the recommended area of expertise. All icons are described in the AI project creation article.
Add to project
If the suggestion is suitable, click Add to project. You remain in the project, and a notification tells you what was added, for example “1 folder and 4 tasks were added.”
Tips
- Specify the time period: State the start and end of the expansion. If the time period is outside the project period, the AI will point out the conflict.
- Specify the connection: Use “Follows” in the Add phase template to specify after which existing phase or task the expansion belongs.
- Only what is new: The AI knows what already exists in the project. You do not need to describe it again.
- Create a new project: To create an entirely new project, use AI project creation.

FAQ
Does the expansion change existing tasks?
The AI only plans what is new and adds it to the project. It does not create duplicate entries for items that already exist.
What happens if something already exists in the project?
These entries are marked in the suggestion and will not be added twice. You can still apply them by clicking them.
Where can I find “Expand with AI”?
In the three-dot menu next to the project name, between Archive project and Import.
