Description
The workload view allows tracking the distribution of workload over different time periods. It provides various display and filter options to gain a detailed overview of resource utilization.
Accessing the Workload View
- The utilization view can be accessed via the main menu in the left sidebar under
Workload.
- Or select the "Workload" tab in your project.
Overview of the Utilization View
The utilization view consists of multiple sections:
- My Utilization: Displays only your personal workload.
- Team Utilization: Shows the workload of your team, provided you are designated as a team lead.
- Overall Utilization: With the "HR" permission, all resources in the workspace can be viewed here.
The utilization view within a project: Displays only the logged times for that specific project.
Summary row in the workload view
In the workload view, you can display a summary row as needed, showing the total hours of all selected resources per day or week. This provides a quick overview of the overall effort and potential bottlenecks.
How to display the summary row
- Switch to the workload view.
- Click on Options (top right).
- Enable the Show summary row option.
After enabling the summary row, the total value (e.g., total hours) for the respective day or period is displayed. This allows you to see at a glance whether resource utilization across all people is still within acceptable limits or if certain days are critical.
Show tasks without assignments
With the Unassigned tasks option, an additional grouping is displayed in the workload view. This area shows tasks that are currently not assigned to any person. This allows you to quickly identify which tasks still need to be distributed.
Tasks in this grouping can be edited directly in the workload view: you can reschedule them or shorten or extend their duration by dragging their edges. Clicking on a task opens it so you can review details or make adjustments.
Notes
- If you have locked
moving tasks, tasks cannot be moved or have their duration adjusted in the workload view. - Check the
selected time periodat the top of the view to ensure you are editing tasks within the correct planning window.
Lock task moving
In the workload view, you can lock the moving of tasks to fix your planning. This is especially helpful to prevent unintended changes – for example, when multiple people are working on the planning at the same time or when the planning has already been aligned.
Space optimization and compact mode
The workload view is designed for clarity – even with large teams. In addition, there is a compact mode that reduces the height of the view and allows more content to be visible on the screen at the same time.
Filtering and Displaying Resources
The utilization view offers various filtering options to adjust the display:
- Filters: Resources can be filtered by team members or task attributes.
- Time Period: Adjust the date range to display weeks or months.
- Resource Selection: Toggle between viewing teams or all resources.
Simulation Mode
In simulation mode, task modifications can be made and their impact on workload assessed without affecting actual data. Changes can be saved or discarded.
Saving Views
In the utilization view, customized views can be saved and shared with others.
- Filters: Saves selected filter settings.
- Time Period: Defines a fixed date range for the view.
- Display Options: Allows switching between weekly and daily aggregation.
- Resource Selection: Saves the selection between teams or all resources.
Additional Options
Under Customize, further display settings can be configured, such as enabling a weekly summary or forecast values.
Analytics panel
In addition to the existing options, you can display an analysis panel via Options. This panel provides further evaluations and metrics related to the workload data. For example, you can see aggregated values, percentage workloads, or other statistical information about the displayed resources and times here.
- Select Options in the workload view at the top right.
- Click Show analysis panel.
Depending on its configuration, the analysis panel can display various metrics, such as the total number of planned hours, average values, or percentage workloads within the examined time period. As a result, you gain an even more detailed overview of possible bottlenecks or overloads.
Notes
- The utilization view only displays resources with relevant data within the selected time period.
- Permissions determine which sections (My Utilization, Team Utilization, Overall Utilization) are visible. Users without HR permission cannot access overall utilization.
- Changes to tasks or time entries directly impact utilization. If data does not appear as expected, check the assigned tasks and logged times.
