4 New Features β’ 6 Improvements β’ 6 Bug Fixes
β New feature
(1) Microsoft OneDrive/SharePoint Integration
Files can now be linked directly from Microsoft OneDrive or SharePoint into tasks. The emphasis is on linking, which means that attached files continue to "live" in OneDrive/SharePoint and are only displayed as attachments in smenso.
Provided the organization has the appropriate permissions, the files will open directly in OneDrive/SharePoint Webviewer when clicked and can be edited there.
Likewise, the file can be edited outside of smenso (in SharePoint or Teams) - in smenso, the latest version is always linked π₯³
Note
When attaching a file from OneDrive/SharePoint, the file automatically receives the following permissions from OneDrive/SharePoint:
- The file is shared only within the user's own (Microsoft 365) organization.
- The file is editable for members of the organization.
As a result, members (or guests) in smenso can only open the file if they are also members of the (Microsoft 365) organization from which the file was shared.
---
When using the feature for the first time, it is necessary to grant permissions for access to OneDrive/SharePoint. The permission can be granted either for oneself or for the entire organization, provided the executing person has the necessary Microsoft organization privileges.
(2) Attach Files to Projects
Previously, files could only be added as attachments to a task (or a status report). Now, files can also be attached to a project - without linking to a task (or a status report).
This is possible in two places:
- In the project master data in the
Files
area - In the
Files
tab of a project
(3) Gantt View in a Project
The Gantt view is leaving the preview phase and is now available in its own tab in projects.
- First and foremost, the Gantt view is now found as its own tab in the project. By default, the Gantt column is displayed right-aligned, and additional columns can be added to the left.
- Indicators for tasks that are located to the left or right outside the displayed area are placed directly on the Gantt area at the edges and are clearly visible. Jump markers are also displayed on the grouping levels.
- The names of the grouping levels are displayed, including from/to information, above the grouping bars. The grouping bars have been given darker gray values and are more visible.
- Date displays are dynamically displayed behind the respective task bars.
- Visual aids when pointing at bars and when moving tasks (the original position on the timeline is always displayed when moving):
- In addition, areas for pulling links are clearly separated to the left and right of the bar (circle with point).
- When pulling links, visual support is offered in the form of a dashed arrow
- In addition, areas for pulling links are clearly separated to the left and right of the bar (circle with point).
- The context menus of task bars can be opened by right-clicking on a bar to quickly delete tasks directly in the Gantt, for example, or to quickly remove data.
- Other actions added:
- Hide connecting lines: Connection lines are displayed by default and can be hidden/displayed using this button.
- Display the critical path: Shows the critical path of the current project
-
Automatic conflict resolution (Assistant): The function optionally provides suggestions for resolving overlaps or searches for gaps in the planning to move dependent tasks to the earliest possible start date.
- During the preview mode, suggested changes can also be adjusted independently - manual changes are highlighted with red arrows:
- Visual support when creating start/end dates for a task by clicking + dragging in a row
Note
It is still possible to display the Gantt view flexibly as a column in the list view. In its own tab, the Gantt column is always fixed on the right side of the screen..
(4) Duplicate tasks with new configuration options
Duplicating tasks in projects can now be done very granularly if desired. Not only can the destination be chosen, but also which properties of the task (or the included subtasks, if there are any) should be duplicated.
All possible task properties can be considered or excluded when duplicating. In particular, subtasks are now also included in duplication.
These options are also available when selecting multiple tasks π₯°
π Improvements
-
Performance improvements at high load: We have made many improvements to our cloud infrastructure to ensure stable system performance even during peak times with many simultaneous accesses and/or high data transfer volumes (large projects, many tasks, many fields, etc.).
-
Improved duplication of folders in projects: Duplicated folders are now always inserted below the position of the source folder - not at the bottom of all grouping levels.
-
Customizable time tracking tab in tasks: The columns displayed in this tab will now remember user changes and be stored per user. Column width, grouping by other columns, or inserted/removed columns are stored per user.
-
Improved jump from Relation flavor table: When jumping from a Relationflavor table to the project from which tasks are linked, the project will now open in a new tab to maintain the current context.
-
New fields in portfolio lists: Description fields from project master data (Description, Project Objective, Project Benefit) and text fields from status reports (Explanation, Next Steps) can now be displayed as columns in the portfolio list.
- New notifications: Two new types of notifications are sent via email, reminding you of tasks starting soon and tasks due soon.
-
Usability improvements in time tracking:
- The time tracking dialog now remembers user-based whether the description field or the additional fields were displayed/hidden during the last maintenance.
- The selection field for projects has been enlarged, longer project names are abbreviated and displayed in full length in the tooltip.
- In the multiple time tracking dialog, the dialog remembers which day or week was selected when switching between the day view and the week view (and vice versa), and always jumps to the week of the previously selected day (or when switching from week to day, always to Monday of the respective week).
- The time tracking dialog now remembers user-based whether the description field or the additional fields were displayed/hidden during the last maintenance.
-
Added a 3-dot menu to the multiple time tracking:
π Fixes
- Fixed: Highlighting text by dragging the mouse in text editors was faulty and has been corrected.
- Fixed: In some cases, notifications were not always sent immediately. We have made various background process stabilizations for notifications to prevent these situations from occurring.
- Fixed: When emails were dragged and dropped as tasks, images in the emails were not displayed depending on the email format - now images are always displayed correctly.
- Fixed: When editing a very long comment, the input field always jumped out of the displayed area (viewport) - now fixed.
-
Fixed: Corrections in project creation assistant:
- If the system default fields for project folder, project type, and location were globally renamed in a workspace, these field names are now correctly displayed in the project assistant.
- The Location field has been added to the additional master data.
- Display problem at higher scaling (150% - 175%) corrected - some parts of the dialog were previously cut off
- Fixed: When calling the Relationflavor table, the visible area (in project master data or in tasks) always jumped to the top instead of remaining in the current position - now fixed.
