This release brings massive upgrades for both daily use and developers: While the revamped βMy Tasksβ view and smart team capacity checks noticeably simplify your workday, admins gain even more control through new security features. A special highlight is our technologically overhauled API, including interactive documentation, which opens up entirely new integration possibilities for developers.
β¨ New Features
π― Improved "My Tasks"
The My Tasks view is now a standalone main menu item and offers you maximum flexibility for your self-management:
- More Views: Use smenso the way you work - whether in the classic list view or on the visual board.
- Full-featured Filters: The previously limited filtering options have been replaced by the comprehensive, full-featured filter.
- Custom Folders: Create as many personal folders as you like to structure your tasks - from projects or personal tasks - according to your own style and organize yourself optimally.

Personal Project: Tasks created within the
My Tasksarea are automatically stored in a personal project and exist only there.

In this context, the "All Tasks" list is now also provided as its own main menu item

π Resource Planning & Workload made smarter
Capacity planning is now even smarter and offers a better overview.
- Assign People with Availability Check: In the new assignment mode, you can immediately see who has capacity and who is already fully booked based on traffic light colors. Available in Team Workload and Overall Workload.
- Capacity in all Person Selection Dialogs: Even in the person selection dialog within a project β without being in the workload view β you can display the current capacity directly on the task with one click.
- Lock Task Movement: Fix your planning! In the workload view, you can now lock the movement of tasks. This is primarily intended to prevent tasks from being moved accidentally during planning.
- Space Optimization: The layout of the workload view has been optimized to maintain an overview even with large teams. In addition to general space-saving measures, there is now a compact mode that nearly halves the row height, bringing more information onto your screen.
π Security & Process Control
- Lock Option for Task Templates: Protect your created templates from accidental changes. You can now apply the generally available access restrictions from tasks to templates as well.
- Workflow Lock: Project settings can now be configured so that workflows can only be changed by admins. This applies to both the default workflow set in the project and the workflows of individual tasks.

More Folder Properties:
- Access Restriction for New Tasks: For new tasks within folders, access can now be automatically restricted to protect sensitive data from the start.
- Protect Folders: Editing folder properties in general can now be locked to prevent unwanted changes, such as accidental renaming.

Communication is even more fun now! Reply instantly with a wide selection of emojis directly to comments.
π Filter by Person Flavors in Tasks
In person selection dialogs, it can now be defined per task whether only a specific selection of people should be available. This targets specific person flavors, which can be set for each person in your workspace settings. The filter is also saved within the task template. Use this function, for example, to map skills for specific task types.
β‘οΈ New Progress in Status Reports
Entering project progress in a status report has been expanded with new features.
- No Mandatory Entry: Entering the progress in the status report is now no longer mandatory.
- Quick Selection: If you do wish to enter progress, you can now do so faster with software assistance. The report now offers a quick selection in broad increments, or alternatively, manual entry.
- System Suggestion: Based on project data, smenso suggests a progress percentage. In the simplest case, completed tasks are compared to total project tasks. Furthermore, a filter can be defined in the project settings to determine which tasks should be used for this calculation (e.g., only those with the label "Status Relevant").
- Progress from Last Status: If a previous status report exists, the last progress value is automatically inserted.
π¨ Color Options in Gantt View
In the Gantt view, you can now choose from various color options for displaying task bars, allowing you to customize your timelines even further. Color task bars by priority, by the chosen folder color, or by an individually set task color per task (configurable in the task's context menu π‘).
π₯ Define multiple project leads
Responsibility can now be shared: In the project master data, you are no longer limited to a single person. From now on, any number of project leads can be defined. This allows for a realistic representation of co-leads or deputies directly within the system.
π API: Major Update for Developers
We have fundamentally modernized our API infrastructure to make integrating smenso into your tool landscape even easier. You can find all details at: developers.smenso.de.
π New API Documentation
Our new documentation is based on the OpenAPI standard, offering comprehensive possibilities for developers.
- Code Snippets: The documentation automatically generates matching code examples for various languages (e.g., JavaScript, Python, PHP) that you can copy directly.
- Interactive Console (βTry itβ): Test endpoints directly from the documentation! You can execute API calls against your real project data and see the responses immediately, without writing a single line of code. You only need your API token and your workspace subdomain.
π Massive Expansion of Endpoints
We have significantly expanded the scope of data available via API. And: All endpoints are now fully available in JSON format, including:
- Project & Folder Management: New possibilities for folders, projects, project metadata, and granular permissions.
- Tasks & Comments: Comprehensive options for using tasks.
- Resources & Absences: Endpoints for absences, working hours, and the management of person flavors.
- Attachments: Retrieve attachments from projects, tasks, or status reports and upload files.
Note:
Previous XML-based API endpoints will continue to be supported but will no longer be expanded. New endpoints and features will only be supported for the JSON format in the future.
π Improvements
π¨ UI & User Experience
- Drag & Drop for Labels: The position of labels in the task detail can now be easily adjusted via drag & drop.
- Create Faster: When clicking "New" in the list, you can now directly select the target folder, which pre-populates the task dialog accordingly. Previously, tasks created via this button were always placed in the project's first folder by default β regardless of whether it was currently visible.
- Better Search in Settings: A new search field in Team Management helps you find teams faster.
- More Structure for Flavor Inputs: Dropdown and multiselect fields in the task dialog (and only there!) now explicitly show help text for input β default is "Empty," but custom help text can be defined, e.g., "Please select."
- Cleaned up Filters: Filters for "Templates" or "Archived" are automatically hidden when not used in the current context. In the past, these could be misleading as project templates and archived projects can no longer be displayed via filters.
- Subtask Templates: Define separate templates for subtasks per folder, independent of the template chosen for main tasks.

Portfolio View: Keep an eye on approvals with the new
Approvalscolumn in the project portfolio. It shows you at a glance how many approvals are still pending in the project. - Define Standard Level: You can now determine which levels of your list view should be open by default. Decide whether all folders should be collapsed, or if only main tasks should normally be displayed while subtasks remain collapsed. β‘οΈ Found in the view settings.

Flavor Manager Expanded: The option
Show in master datacan now be displayed as its own column to quickly adjust this setting across multiple flavors. - Hide People in Feed: Specific people can now be hidden in the feed to prevent the activity log from becoming overcrowded, e.g., technical users.
π Bugfixes
π₯οΈ Interface & Navigation
- ESC Key in Task Dialog: A bug has been fixed where text in the editor was not saved when closing with the ESC key.
- Notifications (In-App): These can now be correctly marked as read and deleted again.
- Various UI/Display Fixes: List flavor values are now correctly displayed below each other instead of horizontally.
- Emoji Fix: Emojis in the editor (Quill) can now be added via the menu in all lines.
- Rich Text: Fixed flickering of rich text flavors after changes in the task detail.
- Comment and Flavor Editing: Issues with editing comments and hiding flavors have been resolved.
- Comments: Clicking on Reply opened the context menu.
β±οΈ Time Tracking & Public Holidays
- Security: Bypass attempts when booking in the past via multi-time tracking are now prevented.
- Display: The time tracking dialog now reliably displays descriptions again.
- Global Time Tracking: A bug when resetting project and task after saving has been fixed.
- Public Holidays: Generating the public holiday calendar is fully available again.
π Views, Filters & Reports
- View Reset: When deselecting views, unwanted columns no longer remain.
- Gantt & List: Switching between views now correctly clears the grouping menu again.
- Status Reports: Tables in text flavors no longer disappear; additionally, project master data flavor groups are now displayed correctly.
- Filter Feedback: A meaningful help text is now displayed for projects with no filter matches.
- Search: In the
All Taskslist, you can now also search specifically for projects.
