OK, our last update was a few months ago (February, to be exact). We’ve been quietly rolling out small improvements, but feature updates have been a bit quieter—and for good reason: we’ve been working on something big. 

And now the time has come: The big summer update is live!

🌟 New Features

👥 Live Collaboration

Task field values now update automatically without a refresh when other members are working simultaneously in lists, boards, Gantt views, or task details. No matter where you are, data always updates without reloading the page. 

You’ll also notice small indicators in list views and task details when someone else in your workspace has made changes—improving transparency and preventing edit conflicts.

Live collaboration currently works fully for tasks in all project views. The portfolio list view does not yet support live updates.

➡️ Customizeable Sidebar

You can now show or hide menu items according to your preference. Simply remove infrequently used items from the navigation—in the More menu you can always find them again for one-time use, click them there, or re-enable them.

☑️ Default Titles for New Tasks in Templates

Tasks can now have a predefined default title in templates to make creation more context-specific or thematic. In addition to the system default New Task, you can set titles like:

• New Meeting Minutes
• New Idea
• New Appointment
• New Work Package

📂 New Folder Options 

You can now define various new properties at the folder level: 

• Create tasks as private: Specify that new tasks in a folder are automatically created with private visibility.
• Color-code folders 🎨 in two styles (text-background or full-row). Learn more
• Define a default view for a folder by choosing from the project’s list views. A badge next to the folder name indicates it. Learn more

📝 Editor & Versioning

The editor in task details and projects has been fully updated— bugs were fixed and numerous enhancements and stabilizations were implemented.

The description field in tasks now supports versioning. Edits to a task’s description are versioned so you can review previous drafts. 

You can also view diffs between versions.

🔍 More Filters

The global filter has received many improvements, including: 

• Add filterable fields directly from a column’s context menu for faster filtering. You can add to or replace an existing filter.
• New relative date filters for precise date queries, e.g. Due Date = today plus 14 days or filter by the last 10 days. These are available for all date filters.
• You can now include the default Description field in filters.
• Advanced filters are now in the My Times and Time Reporting views, letting you filter by time-entry and project/task properties.
• The filter dialog’s behavior has been improved: search fields act more consistently, options open immediately, and more.

😊 Emojis

We’ve improved the emoji menu in the editor—and gone further: Emojis are now selectable as project icons! Click the project icon next to the title, then choose the Emojis tab.

✅ Improved Approvals

The approval workflows have been overhauled:

• Tasks with pending approvals are now clearly marked. A new icon appears by the task title and in the status column.
• Approvers have two new ways to find pending requests:
  • In the notification dialog (bell), there’s an Approvals tab showing unprocessed requests.
  • In the task list filter menu there are new options: In Approval and Approver.
• Approval requests can now be locked in workflow settings: if an approver is preset for a status, requesters cannot change it when moving into that status. 

Only the Admin role can still change the preset approver in a request as defined in the workflow settings.

📁 Files with Folder Structure

The Files tab now supports folder structures to organize project files. Create folders and move attachments from any task into folders and subfolders.

🗺️ Map View & Geo-Flavors (Beta)

Tasks or projects can now be assigned location-based coordination with two new flavor types: Location and Area. Assign a point or area to tasks or projects and view them on a map. The map view is available as a Map tab in projects and in the main Projects menu.

Note: This (beta) feature must first be enabled for the workspace. You need the Owner role. Go to Settings → Features → Map (Beta).

🌟 Improvements

🎨 Display & UI/UX

• The column selector in the portfolio list has been reorganized, categorized, and field order adjusted.
• Flavor selection dialogs are now more robust against unintended outside clicks.
• Moving folders in the portfolio list is now available via the context menu.
• Consistent people-picker behavior across the system: the bulk-action picker now matches the standard picker (including teams). Person-type flavors use the same picker.
• Timeline & Gantt:
  • Holidays now appear and are color-coded in Timeline and Gantt views. Learn more (Timeline) – Learn more (Gantt).
  • The Gantt view now starts at the current date by default.
• Favoriting projects is now available in all project context menus.
• Various action buttons have been modernized and now behave more consistently.
• Tasks can now be added to favorites directly from the context menu.
• The Status tab has extensive enhancements, including a New button to create a status report (or copy the last one as a template). Learn more.
• Notifications are now sent with a sensible delay to avoid duplicates (e.g., assignment notices only send if the task has a meaningful title).
• Roll-up of planned and actual values from subtasks is now in the task context menu for quick activation in lists.
• You can disable live formula calculations in large lists to speed navigation. When disabled, last-calculated values appear italicized with an *.
• In people-picker dialogs, there’s a new Assign to Me option to quickly assign tasks to yourself.

📂 Views & Folders

• All Tasks view: Load limit increased—up to 10,000 tasks now load instantly without pre-filtering.
• Visual feedback when saving views has been optimized: a clear dialog appears bottom-right to save, reset, or save as new. New: views can auto-save immediately upon changes. Learn more.
• New folder properties in list/Gantt and board views:
  • Newly created folders now appear exactly where you clicked.
  • Improved UX with redesigned folder settings buttons.

⬆️ Exports

• Excel exports of task lists now include context info: project, exporting user, creation date, and view title if used.
• Number flavors now export in proper numeric format—ideal for further processing.
• The performance and stability of exports have been optimized.
• Language setting (German/English) now applies to column titles in exports.
• Portfolio and project task list exports now follow the selected view and columns.

⚙️ Tasks & Approvals

• Comment edits now register as task changes and update the modified date.
• Standard field displays in task and project details are now consistent.
• Numeric inputs in flavor tables now enter edit mode on first click and confirm with Enter.

🧮 Formulas & Flavors

• Formulas now support project type as an interpretable value.
• The groupagg function now supports standard fields like actual cost or task GUID. Learn more.
• New file-attachment flavor type lets you categorize file links.

⏱️ Time Tracking, Work Hours & Absences

• Advanced groupings in My Times and Time Reporting now allow multiple grouping levels.
• New grouping option for entry lock status is available.
• Work hours model changes now automatically adjust absence calculations and capacity.
• The absence entry context menu now lets you copy an absence’s GUID.

⚙️ New Workspace Settings

You need the Admin role plus the HR privilege to view these settings.

• New Troubleshooting section: Admins get special tools to self-resolve potential issues; support may direct you here.
• New Time Tracking section: Lock future entries and restrict past months beyond a set day of the current month.
• New Features section: Toggle global features. First is Map (Beta).

📡 API & Integrations

• Webhooks now include the associated Task ID for clearer mapping.
• Project status (active/inactive) can now be changed via the API.
• The api/reports/tasks endpoint now returns the milestone property.
• Attachments are now accessible via the Reporting API.
• api/reports/tasks now includes WorkflowId and WorkflowStatusId.
• Person flavors can now be bulk imported via the API.
• Access permissions can now be set via API on individual tasks/projects.
• Absence data can be protected from deletion via the API.
• API link selection in the Share menu now offers extra formats.
• Permissions on tasks/projects can be read via api/reports/permissions.
• /api/integration/project now supports importing project/person hourly rates and euro amounts.
• The task endpoint now includes a Description HTML field to preserve rich-text formatting.

🧪 Other Improvements

• When duplicating projects, relation flavors set to “Dynamic from current project” are re-linked in the duplicate so relations continue working.
• In list views, entered search terms are now recognized as view changes.
