You can link files directly from Microsoft OneDrive or SharePoint in projects, tasks, or status reports.
Note
The files are not uploaded, but remain โliveโ in OneDrive/SharePoint and are only displayed in smenso as an attachment/link.
What does โlinkedโ mean?
- The file will (with appropriate access) open in the OneDrive/SharePoint web viewer when clicked and can also be edited there.
Changes to the file (e.g., in OneDrive/SharePoint or Teams) will automatically remain up to date in smenso โ smenso always refers to the latest version.
How to link a file
- Open the project, task, or status report to which you want to add the file.
- Go to the
Filessection. Select OneDrive/SharePoint.
- Select the file in the Microsoft selection dialog and confirm.
Where can I find the file afterwards?
The file appears as an attachment in the respective element (project/task/status report) and can also be found centrally in the Files tab of the project (provided you have the necessary rights).
Note on first-time use (popup / permission)
When used for the first time, you will be redirected to Microsoft in a new browser window to grant permission to access your OneDrive/SharePoint. If your browser blocks popups, you must actively allow the access.
Permissions & Visibility
When attaching from OneDrive/SharePoint, the file will automatically receive the following permissions:
- The file is shared only within your own Microsoft 365 organization.
- The file is editable for members of the organization.
Consequence: Members (or guests) can only open the file in smenso if they are also a member of the Microsoft 365 organization from which the file was shared.
The permission to access OneDrive/SharePoint can โ depending on Microsoft organization privileges โ be granted only for you or for the entire organization.
Frequently Asked Questions & Troubleshooting
Why can't the linked file be opened?
Check if you have access in Microsoft 365 (organization/sharing).
Nothing happens when clicking / Dialog does not open
A popup blocker can prevent the Microsoft redirection or the login/consent dialog. Allow popups and try again.
The link appears โbrokenโ after renaming/moving
Depending on the Microsoft link type, this can happen. In this case, link the file again.
