In smenso, you can attach files to projects, tasks, and status reports. All of these files also show up in the project’s Files tab, so you can find, organize, and manage everything in one place.

Where can I find project files?
Files tab in a project
You’ll find all project-related files under Files tab. This includes files that were
- uploaded directly to the project,
- attached to tasks in the project,
- attached to status reports in the project,
- or linked from OneDrive/SharePoint.
That way, you don’t need to remember where a file was originally attached - you’ll always find it in one place.
Global search
With global search, you can search your entire workspace - including files. Open it via the search field in the toolbar or with CTRL + K (Windows) / CMD + K (macOS).
Search results are grouped by category (including Files), and you can use filters such as:
- Sort by: Best match, Last updated, Last created
- In project: only results from the selected project
- More filters: e.g., creator, status, project, archived status
What types of attachments are there?
Upload (file is stored in smenso)
You upload a file directly to smenso (e.g., PDF, image, Excel). The file is then available in the project and can be managed there.
Link from OneDrive/SharePoint (file stays in Microsoft 365)
Instead of uploading a copy, you link a file from OneDrive/SharePoint. The file stays in Microsoft 365 and is shown in smenso as an attachment/link.
Note
Microsoft 365 access permissions still apply.
Organize files
In the Files section, you can organize your project files using folders (e.g., “Contracts”, “Planning”, “Approvals”). You can move files between folders, and the breadcrumb navigation helps you jump between folder levels quickly. This keeps your project files neat and easy to navigate.
Manage files
Depending on your permissions, you can manage files in the Files tab via the three-dot menu, for example:
- download
- delete
- move
- assign
Permissions & visibility
You can only view and manage files within the scope of your permissions.
- Content from projects/tasks/status reports is only visible if you have access to it (otherwise, some search results or files may not appear in the list).
- Deleting/managing is usually only possible if you have the appropriate write/admin permissions in the project.
- For OneDrive/SharePoint links, Microsoft permissions apply as well.
- When linking, smenso applies Microsoft sharing defaults so the file is shared within your Microsoft 365 organization and is editable for organization members. This means only people who belong to that organization can open it.
If a file seems to be “missing”, it’s very often a permissions issue (see the FAQ below).
FAQ & troubleshooting
If something doesn’t work as expected (e.g., a file is missing, can’t be opened, or attachments aren’t visible), the tips below can help you narrow down the cause quickly.
Why can’t I see a file (or only some files)?
- You may not have read access to the area the file comes from (project/task/status report).
- OneDrive/SharePoint: You may not have sharing permissions for the file or folder in Microsoft 365.
Why can’t I open a linked OneDrive/SharePoint file?
- Check whether you have access in Microsoft 365 (shared with you / organization / external access).
- When connecting for the first time, a pop-up blocker may prevent the Microsoft sharing flow or the login/consent dialog.
What happens if a OneDrive/SharePoint file is renamed or moved?
With links, it depends on the Microsoft link type—links can become invalid or point to a new path. If users report issues: renew the link or link the file again.
What’s the maximum file size?
The maximum file size is 500 MB.
I can’t find a file - what can I do?
- Use global search and filter by Files and, if needed, In project.
- Check your access permissions (project/task/status report).
- OneDrive/SharePoint: Check whether you have access to the linked file in Microsoft 365.
Status reports: I can’t attach a file / menu options are missing
In status reports, attachment options may only become available after the status report has been saved at least once (for example as a draft).
If you don’t see the attachment icon or the three-dot menu:
- Save the status report as a draft
- Reload the page if needed
- Then attach the file or manage existing attachments
Status reports: Why doesn’t the attachment show up in the Files tab (yet)?
Attachments from status reports are reliably listed once the status report has been saved (a draft is enough). So check:
- Has the status report been saved already?
- Do you have access to the status report (permissions/visibility)?
