With custom views, you can adapt the display of tasks, projects, and other information to your way of working and then save it.
Depending on the area, you can configure filters, sorting, grouping, visible columns, or other display options, for example. Instead of configuring these settings again every time you open the area, you can save them as your own view and open them again directly later.
What is a custom view?
A custom view saves the current display of an area. Which settings are included in a view depends on the area you are currently in.
Typical settings include, for example:
- Filters
- Sorting
- Grouping
- visible columns and their order
- Column widths
- Hierarchy and level settings
- other area-specific display options
Note
Not every setting is available in every area. A list view, for example, offers different configuration options than a Timeline, a workload view, or an absence overview.
Where are custom views available?
Custom views are available in many areas of smenso. The basic principle is largely the same: first, you adjust the current display and then save it via View.
You can use views in the following areas, among others:
- within projects, for example in List, Board, Timeline, or Gantt
- in the Portfolio
- under My tasks
- under All tasks
- in Workload
- in the Times area
- in the Flavor Manager within the workspace settings
Tip
Create views based on their actual purpose, for example My open tasks, Project controlling, Overdue tasks, or Team workload. Meaningful names make them easier to select later.
Create your own view
Creating a view follows the same basic principle in the different areas.
- Open the desired area or tab.
- Adjust the display to your requirements.
- For example, use
Filter,Sort,Group, or adjust the visible columns and other display options. - Open
View. - Select
Save asor the option for saving a new view. - Enter a meaningful name and save the view.
After saving, the new view is selected directly and can later be opened again via View.
Select a saved view
You can find previously saved views in the View menu.
- Open the corresponding area.
- Click
View. - Select the desired saved view.
The saved settings are then applied to the current area.
Modify a saved view
You can also adjust a previously saved view at any time. If you change a filter, grouping, column, or another saved setting, for example, the current display will differ from the saved view.
smenso marks the view accordingly as changed. You can then decide whether to update the existing view or create a new view from it.
Note
Changes to the display do not automatically modify a saved view until they are saved. This allows you to try out settings first without immediately overwriting the saved version.
Manage unsaved changes
As soon as you modify a saved view, a notification about unsaved changes appears in the bottom-right corner of the screen.
When you open the notification, several options are available:
-
Save
Applies the changes to the currently selected view. -
Save as
Creates a new view from the current display without overwriting the existing one. -
Save automatically
Automatically saves further changes to this view. -
Reset
Discards the unsaved changes and restores the most recently saved version.
Use a view as the default
Depending on the area, you can set a saved view as the default view. This means that this view will automatically be used for you when you open the corresponding area again.
To do this, open View, select the desired saved view, and set it as the Default view.
Note
The default view applies only to you personally. Other people in the workspace or project can independently use their own default view.
The options available when saving or managing a view may vary depending on the area.
Use a view as a tab for the project team
Within a project, you can additionally pin a saved view as its own tab in the project navigation. This makes a prepared view directly accessible to everyone who has access to the project.
This is useful, for example, if the entire project team should work with a specific list, board, timeline, or Gantt view.
- Prepare the desired view and save it.
- Share the view in the workspace so that it can be used as a tab.
- In the project, open the
⋯ menuand selectManage tabs. - Add the saved view as a new tab.
- If needed, define a custom name, icon, or accent color for the new tab.
- Save the tab configuration.
The new tab then appears for everyone who has access to the project.
Set a view as the start view for the project
If you want the pinned view to be displayed directly when the project is opened, you can additionally set the corresponding tab as the Start view.
- Open
Manage tabs. - Select
Start viewfor the desired tab. - Click
Save.
The next time the project is opened, this tab will automatically be loaded first. The defined start view applies to everyone who opens the project.
Note
Default view and start view are two different functions: A default view applies only to you personally. A start view defined in tab management, on the other hand, is project-specific and applies to the entire project team.
You can find detailed information about pinning views, configuring tabs, and the start view in the article Manage tabs in projects.
Delete a view
Views that are no longer needed can be removed via the View menu.
To do this, open the management options for the corresponding view and select the option to delete it.
