In the Projects area, you can create your own custom views in several areas. These include the Portfolio, the Portfolio Timeline, and Analysis.
Which settings are saved depends on the respective area. In the Portfolio, for example, you can filter and group projects and adjust the display. In the Portfolio Timeline, additional settings for the timeline and level of detail are available, while views in Analysis mainly consist of an individually configured widget overview.
Note
This article describes the special features of custom views in the Projects area. To learn how to create, select, modify, or set views as your personal default view in general, see the article Custom views.
Create a view
The basic principle is the same in the different areas:
- Under
Projects, open the desired area:Portfolio,Timeline, orAnalysis. - Adjust the display to your requirements.
- Open
View. - Select
Save as. - Enter a meaningful name and save the view.
Which settings are saved depends on the area that is currently open.
Tip
Create different views for recurring analyses, for example Active projects, My projects, Portfolio controlling, Project roadmap, or a Management analysis.
Views in the Portfolio
In the Portfolio, you can display projects in a table or as a Board and adjust the display using filters, groupings, and other options.
This allows you to prepare different Portfolio views for different tasks, analyses, or target groups.
List and Board
Using the selection in the top left, you can switch between List and Board. Both displays use the same project information but present it differently.
-
List
Displays the projects in a table and is particularly suitable for detailed comparisons and analyses of multiple pieces of project information. -
Board
Displays projects visually in groups and is suitable, for example, for comparing projects based on a shared characteristic.
The selected display is part of the saved view.
Views in the Portfolio list
The list view is particularly suitable when multiple pieces of project information need to be displayed and compared at the same time.
Typical settings of a custom Portfolio view include:
- applied filters,
- the selected grouping,
- the project information and columns required for the analysis,
- other available display options of the Portfolio list.
This allows you to prepare, for example, a compact management view with only a few key figures or a more comprehensive controlling view with additional project information.
Filter projects
Using Filter, you can define which projects are included in the current Portfolio view.
Both standard project information and additional project-specific fields can be used for filtering. This allows you to narrow down the view by project management, project type, status, time period, or other project characteristics, for example.
Multiple filters can be combined and then saved together with the view.
Group projects
With grouping, you can group projects based on a shared characteristic.
Depending on the available project information, the following criteria may be available, for example:
- Project folder,
- Location,
- Project management,
- Project type,
- Created by,
- Updated by.
The selected grouping is saved with the custom view and restored when the view is opened again.
Views in the Portfolio Board
In the Board view, projects are displayed visually in columns. You can adjust which projects are displayed and how the Board is structured using filters and groupings.
The grouping determines which information is used to distribute the projects across the individual columns in the Board.
This allows you to build Boards based on project management, project type, project folder, or other suitable project information, for example.
You can then save a Board display configured in this way as a custom view.
Which projects are displayed in the Portfolio
Additional options are available via the three-dot menu, allowing you to define which type of projects is currently displayed in the Portfolio.
Available options include:
-
Active and inactiveprojects, -
Active onlyprojects, -
Inactive onlyprojects, -
Archived projects, -
Project templates.
This allows you to narrow down the project set at a basic level and then refine it further using filters and groupings.
Views in the Portfolio Timeline
In the Portfolio Timeline, multiple projects are displayed on a shared timeline. A custom view can save not only the selected projects, but also various settings for the display and navigation of the Timeline.
Possible components of a saved view include:
- the selected projects,
- applied filters,
- the selected sorting,
- the time unit and zoom level,
- the displayed section of the timeline,
- the display using Big Picture,
- the compressed display of the displayed tasks,
- the display of connection and milestone lines.
This allows you to prepare, for example, a long-term Portfolio roadmap with multiple projects or a detailed view with the tasks of the selected projects displayed.
Views in Analysis
In the Analysis area, you can create an individual Portfolio analysis from various widgets and then save it as a custom view.
Use Customize to define which widgets should be displayed in the analysis.
Depending on the available data, different widget types and analyses are available, for example:
- Bar charts,
- Pie charts,
- Burndown analyses,
- Bubble charts,
- widgets for costs,
- widgets for resources,
- lists and other available analyses.
The selected widgets together form the analysis view and can then be saved via View.
This allows you to prepare different analysis views for costs, resources, management reporting, or other recurring Portfolio analyses, for example.
