Within a project, you can create your own custom views in various areas. This allows you to save not only filters or sorting, but depending on the area also the display, visible information, or additional display options.
Which settings are saved depends on the respective project area. A view in the List therefore contains different settings than, for example, a view in the Timeline, in Gantt, or in Workload.
Note
This article describes the special features of views within a project. To learn how to create, select, modify, or set custom views as your personal default view in general, see the article Custom views.
Create a view in a project
The basic principle is the same in all supported project areas:
- Open the desired project area, for example
List,Board,Timeline, orGantt. - Adjust the display to your requirements.
- Open
View. - Select
Save as. - Enter a meaningful name and save the view.
Which settings become part of the saved view depends on the respective area.
Tip
Set up views according to their intended purpose, for example Project controlling, Management overview, My tasks, Scheduling, or Team workload. This makes it immediately clear later what a view is intended for.
Views in the Overview
In the Overview, a view mainly consists of the selection and arrangement of the widgets used.
Use Customize to define which widgets are displayed in the overview. There, you can add additional widgets or hide widgets that are not needed.
You can then arrange and adjust the displayed widgets directly in the overview. You can:
- use
Customizeto add or hide widgets, - move existing widgets,
- enlarge or reduce widgets.
You can then save the resulting selection and arrangement as a view. This allows you to prepare different overviews for project management, controlling, or operational project work, for example.
Further information
You can find more information about selecting, arranging, and adjusting widgets in the article Widgets in the project overview.
Views in the List
The list view offers particularly many options for adapting a view to your own workflow.
The following settings, among others, can be part of a saved view:
- applied filters,
- simple or multi-level sorting,
- the selected grouping,
- displayed columns and their order,
- adjusted column widths,
- pinned columns,
- the selected hierarchy and level settings,
- the hierarchical or flat display of tasks and subtasks.
This allows you to prepare, for example, a compact controlling list with only a few relevant columns or a detailed working view with additional task information.
Further information
You can find a detailed description of columns, filters, sorting, grouping, and hierarchy settings in the article Working with the list view.
Views in the Board
The Board can also be adapted to different ways of working using custom views.
The following settings in particular can be saved:
- filters to display only certain tasks,
- the selected sorting within the Board columns,
- the grouping that determines which property is used to divide tasks into columns,
- the display of subtasks and the selected level up to which subtasks should be displayed in the Board.
You can enable the display of subtasks via the three-dot menu of the Board. There, you can also define up to which hierarchy level subtasks should be displayed. This setting is also included when saving the custom view.
This allows you to build a Board by status, priority, responsibility, or another relevant property, for example, while also defining how detailed the task structure should be displayed.
Further information
You can find more information about the different filtering, sorting, and grouping options in the article Filter, sort, and group the Board view.
Views in the Timeline
In the Timeline, various timeline settings can be saved in addition to the standard filtering, sorting, and grouping settings.
Possible components of a Timeline view include:
- applied filters,
- sorting,
- grouping,
- the selected time unit and zoom level,
- the display of dependency and connection lines,
- the compressed display of planning elements,
- the
Show subtasksoption.
This allows you to save, for example, a long-term management view with a broad time scale and a detailed operational view for the next few weeks separately.
Tip
Especially for large project plans, it is useful to create different Timeline views for different time periods or levels of detail.
Further information
You can find more information about the structure, navigation, and functions of the Timeline in the article What is the Timeline?.
Views in Gantt
In Gantt, many settings can be saved in a similar way to the Timeline. In addition, further tabular and visual options are available.
A Gantt view can include the following settings, among others:
- filters,
- sorting,
- grouping,
- displayed columns and their display,
- the selected time unit and zoom level,
- selected color options for the task bars,
- the
Only meoption to display only tasks that are assigned to you.
This allows you to save, for example, a detailed scheduling view with additional columns and a reduced personal view for your own tasks.
Further information
You can find more information about the filtering, sorting, and grouping options in Gantt in the article Filtering, sorting, and grouping in the Gantt view.
Views in Workload
In Workload, the settings for resource and capacity display can be fully tailored to the respective purpose and then saved as a view.
Saved settings include, for example:
-
Filters
Filter by people or by properties of the associated tasks. -
Date range
Define which time period should be considered in Workload. -
Display options
Choose, for example, between daily and weekly aggregation and determine which values are displayed in Workload. -
Groups of people and teams
Active filters for specific teams or groups of people are included in the view. -
All resources
The selection of whether all resources or only the currently selected group should be displayed can also be part of the view.
This allows you to prepare, for example, one view for the entire project team and separate views for individual teams, roles, or time periods.
Further information
You can find more information about the various functions and configuration options in the article The Workload view.
Views in Status
The Status area works similarly to the Overview with freely customizable widgets.
Use Customize to define which widgets are displayed in the Status area. There, you can add additional widgets or hide widgets that are not needed.
You can then arrange and adjust the displayed widgets directly in the Status area. You can:
- use
Customizeto add or hide widgets, - move widgets,
- enlarge or reduce widgets.
The finished selection and arrangement can then be saved as a view. This allows you to prepare different Status dashboards for the project team, project management, or management, for example.
