In this article, you will learn how to group tasks in different views. This helps you stay organized and manage your tasks more efficiently. There are many views in which you can group tasks, such as the list view, board view, timeline, Gantt, the all-tasks list, and the portfolio. Particularly in the list view, there are advanced grouping options. Here, you can group by any field and even multiple fields at once. In other views, the grouping menu is simpler and offers only some essential grouping options. The default grouping is always based on folders.
Note that the fields displayed under "shown fields" may vary depending on the view. The menu looks different for each person, depending on which fields you have currently displayed and which view you have created. You should be aware of this beforehand.
Grouping Options
1. Folders
The default grouping is folder-based. Tasks are displayed according to the folders they belong to. This helps you organize tasks within different projects or categories.
2. Status
In the status view, tasks are grouped by their status. The possible statuses are:
-
- Not started: Tasks that have not been started yet.
- In progress: Tasks that are currently being worked on.
- Completed: Tasks that have been finished.
3. Priority
Grouping by priority organizes tasks according to their importance. There are four priorities:
-
-
- Very high
- High
- Medium
- Low
-
4. Assigned
In this view, only tasks that have been assigned to someone are displayed. Tasks are assigned to the respective person as collapsible folders or phases. When opening a folder, you will see the tasks assigned to that person. In the board view, tasks are assigned to the respective persons as phases.
5. Due Date
This grouping sorts tasks by their due date:
-
- Overdue: Tasks whose due date has already passed.
- Upcoming: Tasks with a due date in the future.
- No date: Tasks for which no due date has been set.
6. Labels
Here, tasks are grouped by their labels. All available labels are displayed, and tasks with the respective label are shown under that label. A task can be assigned multiple labels and will therefore appear under each corresponding label.
7. Additional Fields and Formulas
You can also group tasks by additional fields or custom formulas. These fields or formulas are displayed as folders or phases, and tasks containing these fields or formulas are assigned to the corresponding folders or phases.
Using Multiple Groupings Simultaneously
It is also possible to use multiple groupings simultaneously. This allows for even more detailed organization of your tasks. For example, you can first group tasks by folders and then by priority. This helps you organize tasks both by their project context and by their urgency.
Summary
The various grouping options allow you to organize and manage your tasks efficiently. You can choose the view that best suits your workflow and ensure that you always stay on top of things. The ability to use multiple groupings simultaneously provides additional flexibility and precision.
