In this article, you’ll learn how to group tasks in various views. This helps you stay organized and manage your tasks more efficiently. There are many views in which you can group tasks, such as the list view, board view, timeline, Gantt, the all-tasks list, and the portfolio. The list view, in particular, has advanced grouping options, allowing you to group by any fields, even multiple fields at once. In other views, the grouping menu is simpler and offers only a few essential grouping options. By default, tasks are always grouped by folders.
Note that the fields shown under “displayed fields” can vary depending on the view. The menu looks different for each user, depending on which fields you have displayed and which view you’ve set up. You should keep this in mind beforehand.
Grouping Options
1. Folder
The default grouping is folder-based. Tasks are displayed according to the folders in which they reside. This helps you organize tasks within various projects or categories.
2. Status
In the status view, tasks are grouped by their status. Possible statuses are:
-
- Not started: Tasks that have not yet begun.
- In progress: Tasks that are currently in progress.
- Done: Tasks that are completed.
3. Priority
Grouping by priority arranges tasks according to their importance. There are four priorities:
-
-
- Very high
- High
- Medium
- Low
-
4. Assigned
In this view, only tasks that are assigned to someone are displayed. Tasks are grouped under each person as expandable folders or phases. Opening a folder shows the tasks assigned to that person. In the board view, tasks are grouped under each person as phases.
5. Due Date
This grouping sorts tasks by their due date:
-
- Overdue: Tasks whose due date has already passed.
- Upcoming: Tasks with a future due date.
- No date: Tasks with no set due date.
6. Labels
Here, tasks are grouped by their labels. All existing labels are displayed, and tasks that have a particular label are shown under that label. A task can be assigned multiple labels and thus appears under each corresponding label.
7. Other Fields and Formulas
You can also group tasks by other fields or custom formulas. These fields or formulas appear as folders or phases, and tasks containing those fields or formulas are grouped under the corresponding folders or phases.
Using Multiple Groupings Simultaneously
It’s possible to use multiple groupings at the same time. This allows for even more detailed organization of your tasks. For example, you can first group tasks by folders and then by priority. This helps you organize tasks by both their project context and their urgency.
Summary
These various grouping options allow you to organize and manage your tasks efficiently. You can choose the view that best suits your workflow to ensure you always have an overview. The ability to use multiple groupings simultaneously offers additional flexibility and detail.
