Contents of a status report
The following information can be recorded in a status report:
- Name of the status report
- Overall status
- Schedule status
- Cost status
- Goal status
- Progress level
- Explanations regarding the status
- Description of the next steps
- Upload files
- Save as draft
- Publish
A status report can initially be saved as a draft for later editing. To do this, click Save as draft.
By clicking the Publish button, the status report is saved and published. It is then visible to project participants.
Past status reports
The Past status reports widget lists these reports in a clear overview. You can open individual status reports if necessary to view their details. However, subsequent editing of already published reports is not possible.
Based on the recorded status reports, the trend of the overall status is displayed in the Overall status trend curve widget. This allows you to see how the project evolves over time at a glance.
Upload files
smenso Cloud allows you to add files when you create a status report. A subsequent upload is not possible. To add a file to the report, it must already be saved as a draft. You can then add the files as follows:
- Method 1: Click the + symbol under Files. A Windows Explorer window opens, where you select the desired file and add it by clicking "Open".
- Method 2: Click browse. Select the file in the Explorer and add it by clicking "Open".
- Method 3: Use drag & drop to drag files directly into the entry form.
Note: Method 2 can only be used once if a file has already been added. If you want to insert multiple files at once, use Method 1 or 3, or upload multiple files in a single step.
Emails including attachments can also be dragged and dropped (e.g., from Outlook) into the entry form.
Request update
An authorized user can request an update to the current status report at any time. To do this, click Request update in the Current status widget. An email with the relevant information is automatically sent.
Comments
Every status report can be commented on. To leave a comment, select the desired report under Past status reports. The status report entry form opens. Under Enter comment here you can write your comment and add it by clicking Send.
Copy status reports
In addition to creating and editing status reports, it is also possible to copy existing reports. This makes it possible to use a published or draft-saved report as a template for a new one.
- Efficiency: Save time by adopting content, status comments, and basic settings.
- Adjustment: Then adapt the copied report, change the title, status, or other fields, and publish it.
Option 1: By clicking on the Copy status
button via the submenu of the New status
button of an existing status report
Option 2: Via the New
button at the top right of the project
Use status report templates
In the same New
menu, you can also select already created templates for status reports. This is especially helpful if similar content or structures are often needed. A template that has been created and saved once can be used any number of times for new status reports.
- Quick start: Save time when creating a status report by adopting recurring fields and content from the template.
- Customizability: After loading the template, you can modify all content, such as the title, data, description, or files.
This ensures consistent and uniform status reports in your project without having to manually fill out all fields every time.
