The timeline offers a lot of possibilities to view and edit the tasks of a project in a time context.
Open and edit a task
If you want to open a task to display or edit its properties, for example, you can simply open it directly in the timeline by tapping on it. Alternatively, a right-click will open a small submenu giving you some options.
Change the duration of a task
You can easily change the duration of a task (start and due date) by dragging the bar longer or shorter. As soon as you point the cursor on a task, two handles will appear. Tap and hold on one of them to drag and change the duration.
Moving one or multiple tasks
Simply tap and hold the task bar in order to move it along the date line.
The red dependency line indicates that the subsequent task cannot be started at a time when the previous task has not yet been completed.
You can also move multiple tasks at the same time. Simply select the desired tasks and tap and hold on one of them to use the drag & drop function to move them.
If you want to move single tasks, that are separated from each other, select the first task(s) you want to move, hold down the shift key, then select the next tasks and move them together.
Collapse and expand the timeline view
Managing a lot of tasks in the timeline can be a bit overwhelming. To give you a more compact view of all tasks instead of displaying them in a waterfall style, you can rearrange the tasks with the Collapse button and they will try to find a space next to each other. Especially in combination with the workload view, the collapsed view may help you to see clearer.
Note: The same function is also available in the portfolio timeline.
Quickly choose from tasks without a date
The timeline will only display tasks and milestones that have dates. To help you see existing tasks without a date, we put a list of those tasks in a quick button in the upper right corner. Clicking on the button opens a list to choose from, grouped by folders in your project.
Simply drag & drop a task into the timeline to include it in your plan and edit the duration afterwards.
Create a task directly in the timeline
There are two ways to create a task in the timeline:
- Add a task by tapping the '+'-Button. This will drop a new task in the timeline for you to move and edit as you like.
- Add a task by selecting the brush icon in the upper right corner of the timeline. The cursor changes into a brush. With the brush tool, you can "draw" a new task in the desired time frame or group. Note: This is only possible if the corresponding folders for the tasks have already been created in advance.
By tapping on the task just drawn, you are free to edit any property you like. The daes, as well as the folder will automatically be filled in.
The following data can be assigned to the task via the entry screen:
- Status
- Task name
- Resources*
- Label**
- Flavor**
- Folder
- Priority
- Start date
- Due date
- Plan Effort***
- Plan Costs****
- ACTUAL Effort
- ACTUAL Costs
- Description*****
- Subtasks******
- Add files
- Comments
- Activities
* You can add a resource by ticking the respective person and delete it by unchecking the checkbox.
** How to create labels and flavors can be found here.
*** Setting the check mark will automatically calculate the effort. A working time of eight hours per day is assumed. Weekend days are not included in the calculation.
**** Selecting this checkbox automatically calculates the costs. The hourly rate defined in the project settings is used as the calculation basis. The hours are used for calculation based on the effort.
***** How to format the description, you can see here: Text editor
****** A detailed procedure for creating subtasks can be found here: Subtasks
Create a milestone
You can also create a milestone in the same way. In the task dialogue, enter only one of the dates, the start date or the due date - it doesn't matter which one, as long as it is just one, the task will be transformed into a milestone. We recommend entering the date in the due date field as the date is then also displayed in the tile in the task overview.
Tasks that are milestones will show as hashes in the timeline:
