Tasks can be saved as templates. Task templates let You reuse certain tasks easily. This is especially useful when tasks should follow specific processes, always include certain flavors (custom fields), or should already contain specific subtasks - essentially for anything You might want to reuse in the future.
This article covers creating, editing, locking, and managing task templates. To learn how to apply a template to a new or existing task, see the article Applying Task Templates.
Good to know
- Task templates store every field a task can have, including flavors, files, and subtasks.
- Templates are stored workspace-wide, but visibility for different groups can be configured.

- Click the
✨icon. - Select

Setting a default title for new tasks
A default title for new tasks can be stored in a task template. You'll find this field directly when browsing a template.
If a default title has been defined in a template, this title will be automatically suggested whenever You create a new task from that template. This lets You specifically control how tasks based on this template are named.
- The default title replaces the previous placeholder "New task" when creating a task from the template.
- You can of course adjust the suggested title individually when creating the task.
- If no title is defined, the default value "New task" remains.
Editing a task template
- Open any task.
- Open the template menu via the
✨icon. - Select
✨ Browse templates. - Open the options menu next to the desired template and select
Edit. - Edit the template and save it as usual by clicking outside the window.
Editing subtasks in templates
Subtasks can be part of a task template and are automatically included when a task is created from the template. They can also be edited afterwards within the template - the basic data of a subtask can be adjusted directly inside the template: workflow, status, name, due date, and assignee.
Locking task templates
Task templates can be locked to prevent changes to the template. This is helpful when a template is meant to serve as a binding standard, or when multiple people in the workspace work with templates.
If a template is locked, its content can no longer be edited until the lock is removed again.
Note
- The lock only affects the template itself - tasks already created from the template remain unaffected.
- Admins can still edit the template despite the lock.
Pinning templates / quick access
Templates can be pinned. Pinned templates are offered in the quick access section of a task's ✨ menu. Pinning a template is a personal setting.
Templates can be pinned in these ways:
- When creating a template (see above), check
Pin to quick access. - Open the ✨ menu and select
Browse templates, then select the pin icon in the next step.
In the quick access menu, a pinned template can be removed again by clicking the corresponding icon.
Deleting task templates
- Open any task.
- Open the template menu via the
✨icon. - Select
✨ Browse templates. - Open the options menu next to the desired template and select
Delete.
Caution
Deleting a template is permanent. Tasks already created from this template are not affected.
