Using the Absences menu item, members can record, submit, and manage their absences. This allows vacation, sick leave, or other absence types to be maintained centrally in smenso.
Which absence types are available depends on the settings stored in the workspace. If an approval process is defined for an absence type, the request is automatically forwarded to the responsible approvers after submission.
By default, absences can only be maintained for yourself. People with the appropriate approval permissions or with HR permission can also record absences for other people.
Open absences
You can access all absences via the Absences menu item in the navigation.
Depending on your permissions, different areas are available there, for example My absences and All absences.
- In the navigation, open the
Absencesarea. - If needed, switch between
My absencesandAll absences.
Create a new absence
New absences can be recorded via the New absence button. First, select the desired absence type and then add the required details.

New absencein the top right. - Select the desired absence type.
- Enter the required details, for example
Start,End, and—depending on the absence type—additional information. - Save or submit the absence.
After creation, the absence appears in your overview and is displayed there with the associated information.
Approval of absences
Absence types can be configured with an approval process. In this case, the absence is not only saved, but also submitted for review.
The responsible approvers are notified accordingly and can then approve or reject the request.
Depending on the configuration, the current approval status is displayed in the overview, so you can always see whether an absence has already been approved, submitted, or is still pending.
Manage absences
Absences that have already been recorded can be managed further in the overview. Depending on permissions, this includes, among other things, reviewing existing entries, submitting new requests, or deleting existing absences.
In the overview, you can also read key information directly, for example:
- Absence type
- Start and End
- Duration or working days
- Approval status
- Approver
- additional information such as comments or status details
Reports and vacation overview
In the My absences area, additional overviews and reports are displayed. For example, you can quickly see your opening balance, the accrual of new periods, approved or submitted vacation, and your currently available vacation.
This gives you not only a list of your absences, but also a direct overview of your current balance.
Permissions
By default, absences can only be maintained for yourself. There are two important exceptions:
- Approvers can process corresponding requests, depending on the respective absence type.
- People with HR permission can also record and manage absences for other people.

Which absence types are available and whether approval is required for them is defined in the workspace. If you cannot select a specific absence type, this is usually due to the stored settings or your permissions. More information about managing absence types can be found here.
