In the Workload area, you can adapt the resource and capacity display to your workflow and save the selected settings as a custom view.
This allows you to prepare different views for specific teams, time periods, or analyses, for example, and open them again directly later.
Note
This article describes the special features of custom views in the Workload area. To learn how to create, select, modify, or set views as your personal default view in general, see the article Custom views.
Open Workload
Open the Workload area in the left-hand navigation.
Depending on your permissions, different areas are available there for viewing resources, for example your own workload, the workload of a team, or an overall resource analysis.
Create a view
First, configure Workload the way you want to use it again later.
- Open
Workload. - Adjust filters, time period, resource selection, and display options to your requirements.
- Open
View. - Select
Save as. - Enter a meaningful name and save the view.
When you open the saved view later, the settings it contains are restored.
Tip
Create views that match recurring planning tasks, for example This week, Team workload, Next 4 weeks, or Capacity planning.
Which settings are saved?
A custom view in Workload can contain various settings for selecting and displaying resources.
The most important settings include:
- Filters,
- the selected date range,
- the selected display options,
- the selected groups of people or teams,
- the selection via
All resources.
This allows you to view the same workload data in different configurations depending on your requirements.
Filter resources and tasks
Using Filter, you can specifically limit the displayed resources and tasks.
Depending on the available information, you can filter by people, teams, or properties of the associated tasks, for example. Multiple criteria can be combined and saved together with the view.
This allows you to create a view, for example, that only includes resources or tasks from a specific team or with certain properties.
Set the date range
Use the date range selection to define which time period should be considered in Workload.
You can switch between various predefined past, current, or future time periods and narrow the analysis down to the desired planning window.
The selected time period is saved with the custom view.
Tip
For operational planning, a view for the current or upcoming week is useful, for example. For capacity planning, you can also create a longer-term view.
Adjust display options
Additional options are available via Customize, allowing you to define how the workload data is displayed.
This includes, for example, selecting the time-based aggregation. Depending on the desired level of detail, you can view workload on a daily or weekly basis.
Other available display options allow you to focus the display on the values relevant to your analysis.
The corresponding display settings are included when the view is saved.
Select groups of people and resources
Using the resource selection, you can define which people or groups are included in Workload.
This allows you to work with a specific team, for example, or use All resources to display the available resources according to your permissions.
The selected resource selection is also saved together with the view.
Notes
- Which resources and areas you can see in Workload depends on your permissions.
- The saved view does not change any tasks or resources. It only defines which information is displayed and how it is presented.
- Changes to tasks, time periods, or other planning data are reflected accordingly in Workload. The view saves the display, not the data as it existed at the time.
