AI usage in the Admin Center

In the Admin Center, Workspace owners use AI usage to control whether the AI features are available in the Workspace. The page also shows how many AI Credits have been used and lets you request an additional Credit package. This article describes the individual steps. Please note

The AI usage menu item is only visible to Workspace owners. The settings apply per Workspace: if your organization has several Workspaces, each one has its own switch and its own quota.

 

Open AI usage

  1. Open the Admin Center.
  2. If your organization has several Workspaces, select the one you want in the selection field under WORKSPACE in the left navigation. If there is only one, it is already preselected.
  3. Click AI usage.

At the top, the page shows the Workspace, the plan, the current billing period and the number of member seats.

Enable AI features

AI features are disabled in every Workspace at first. While they are switched off, members do not see any AI actions and no Credits are used.

Prerequisite: You are the owner of the Workspace and authorized to agree on behalf of your company.

  1. Open AI usage in the Admin Center.
  2. Review how data is processed in the DATA PROCESSING area: PROVIDER, HOSTING REGION, TRAINING and RETENTION. More details are in the article How smenso AI works.
  3. Turn on the switch in the AI functions for this workspace card. The Enable AI features dialog opens.
  4. Read the AI Terms of Use and the Data Processing Agreement. Both can be downloaded as PDF.
  5. Select the checkbox to confirm that you are the owner of the Workspace, authorized to agree on behalf of your company, and accept both documents.
  6. Click Agree and enable.

The AI features are then available to all members of the Workspace. Below the switch, you can see when and by whom they were enabled.

Note

Consent is only required before the first activation. The date, the person and the version of the terms are recorded in the Workspace. If you later switch the AI features off and on again, you do not have to agree again.

 

Disable AI features

  1. Open AI usage in the Admin Center.
  2. Turn off the switch in the AI functions for this workspace card.
  3. Confirm the Disable AI features? dialog with Disable.

The AI features are switched off immediately for all members, including anyone using them right now. All AI actions disappear from the interface. Content that has already been created is kept.

View quota and usage

Below the data processing details, the page shows the Workspace's quota for the current billing period.

AI quota

  • Usage display: Shows what percentage of the quota has been used, how many Credits have been used and how many are still available. The card header shows the billing period and the days left.
  • Forecast: The hatched part of the bar (Forecast until 05.12.) estimates the usage until the end of the period.
  • Table: Breaks down the quota for This period and from the start of the next period (From 06.12.2026): Included in plan (member seats × Credits per seat), Additional credit package and the total Quota.

Unused Credits expire at the end of the billing period. At the start of the next period, the full quota is available again.

Right after the first activation, or as long as no data is available yet, the message The usage is currently not available. appears instead of the usage display. The quota table is still shown.

Usage by AI feature

Shows how the usage in the period is distributed across the individual AI features (in Credits and percent). Below that you find the number of AI actions and the average Credits per action (Ø credits per action).

AI usage per day

The chart shows the usage per day in the billing period. It also shows the figures So far this period, Ø per day and Peak (the day with the highest usage).

 

Add AI credits

If the quota is not enough, you can request an additional Credit package. The package is added to your plan's quota in every billing period and expires like it at the end of the period.

  1. Open AI usage in the Admin Center.
  2. Click Add AI credits in the AI quota card.
  3. Select a package: Package S (+2,500 credits per month), Package M (+10,000 credits per month) or Package L (+50,000 credits per month). The monthly price is shown to the right of each package.
  4. Check the summary in the dialog: it shows the new quota until the end of the current period, the quota from the next period, the prorated amount charged today and the monthly amount from the next period.
  5. Click Request package … (for example Request package M).
