Edit rights are not the same as roles. Roles are always global permissions, while edit rights can be set individually for project master data/settings, tasks, and subtasks. See the article Roles for more information.
Permission settings on objects determine whether members are allowed to edit those objects or not.
Understanding permissions
Which objects can have edit rights restricted?
- Project master data and project settings: The master data and settings are locked and can only be viewed in read-only mode. A restriction at project level always applies to both: master data and settings.
- Tasks: All fields of a task are locked and can only be changed by authorized people. Everyone else has read-only access.
- Subtasks: All fields of a subtask are locked and can only be changed by authorized people. Everyone else has read-only access.
Difference between edit rights and visibility
Edit rights determine whether members may edit an object or not. Project visibility, on the other hand, determines whether a project receives the Private label and thus becomes invisible to people who have not been invited.
Project visibility is configured under Manage project > Settings > Visibility. See the article Setting projects to private for more information.
Who can edit restricted objects or lift a restriction?
When edit rights are restricted, the following people always retain edit rights:
- Administrators - for write restrictions on projects and tasks
- the person who restricted the object
Additional people or teams can be selected to retain edit rights. These people can also lift the restriction again.
Note
When edit rights are restricted, everyone except the people listed above has read-only access. In tasks, however, commenting is always possible regardless of the permission status.
For private projects and private tasks, the admin exception does not apply. Admins only have access there if they have been explicitly added - or, for private projects, if their team has been defined as an enforced team for private projects in the workspace settings.
Restricting edit rights in projects
An active restriction always applies to master data and settings.
- Open the project master data via
Options menu>Manage project - Click the lock icon π (
Manage access) in the action buttons - Select
Restrict accessin the dialog - After activation, all people who still have edit rights are shown above the search field. Everyone else now has read-only access.

By default, everyone has full access. After the restriction is activated, all others have read-only access. Administrators always retain the right to edit a task or lift the restriction.
Setting tasks to private
Once a task has been restricted, the additional option Set to private appears in the permissions dialog. Private tasks are completely invisible to unauthorized people - including admins.

Requesting edit rights
If you want to request edit rights for a restricted object, there are two ways:
Option 1 - via the tooltip:
- Hover over the lock icon π in the task or project
- Select

Option 2 - via the permissions menu:
- Open the lock menu (

In both cases, the person who restricted the object will receive an email and an in-app notification.
Note
Admins can bypass write restrictions and lift them. For private tasks this does not apply - admins have no access there unless they have been explicitly added.
Lifting a restriction
Prerequisite: You must have edit rights in the relevant object.
- Open the task or project
- Click the lock icon π (
Manage access) - Select
Remove restriction- either in the tooltip or in the permissions menu
System-wide labeling
The π lock icon in smenso indicates restricted edit rights system-wide - in projects as well as in tasks. Private projects, on the other hand, are marked with the written label Private. See the article Setting projects to private for more information.
