The Settings tab in the Manage project dialog contains all project-specific configuration options. Here you can control visibility, project mode, date adjustments, hourly rates, and other project behaviors.

Visibility
Defines whether the project is visible to all workspace members or only to explicitly added people.
- Open: All members of the workspace can see the project and edit its content.
- Private: The project is only visible to people who have been explicitly added.

Show project name in tasks for guests
Tasks from a project can be assigned to guests who do not have direct access to the project. By default, the project name is not visible to these guests in the task. This setting allows the project name to be shown to such guests.
Mode (Active / Inactive)
An inactive project can be used for simulation or pre-planning. Tasks and resources from inactive projects are not included in widgets or notifications.
- Active: Default mode - the project is fully active.
- Inactive: The project is excluded from evaluations, notifications, and widgets.
Project ID
The project ID is a freely chosen short code that identifies the project system-wide. It is used as a prefix before task IDs (e.g. WBFLH-1, WBFLH-2), making task IDs shorter and easier to remember than the default random IDs.
Note
Sequential project IDs can be enabled workspace-wide so that new projects automatically receive a consecutive number. This setting is reserved for the Owner role and can be found under Avatar menu > Settings > General > Project IDs.
Automatic date alignment
These two settings control how date changes affect parent or child tasks:
Alignment in parent tasks
When the start or due date of a subtask is changed: should the system take the parent task's dates into account and adjust them if necessary?
Alignment in subtasks
When the start or due date of a parent task is changed: should the system take the contained subtasks' dates into account and adjust them if necessary?
Three options are available for both settings:
- Always ask (default): A confirmation dialog appears with each change.
- Always align: Dates are adjusted automatically without prompting.
- Never align / Ignore: Dates are never adjusted automatically.
Set workflow for project
Sets the default workflow used for all new tasks in this project. Individual tasks can use a different workflow if needed.
Note
The Lock workflow changes setting (see below) can prevent other users from changing the workflow afterwards.
Use as subproject
This project can be assigned to an overarching parent project. Enable the toggle Use as subproject and then select the desired parent project.
In the portfolio list view, subprojects are displayed indented below their parent project. In the parent project, a badge showing the number of subprojects is shown at the top.

Link SharePoint folder to project
A SharePoint folder can be displayed as a tab directly within the project. SharePoint remains the central storage location - in smenso, files can be uploaded, opened, and downloaded. Changes made in SharePoint are visible in smenso; permissions and versioning remain in SharePoint.
Click Add folder and select the desired SharePoint folder.
Note
An active Microsoft OneDrive/SharePoint integration in the workspace is required.
Default template for new tasks
A task template can be set as the default for all new tasks in this project. Other templates can still be applied individually to specific tasks.
Default template for new status reports
A status report template can be set as the default for all new status reports in this project. Individual status reports can still use a different template.
Default currency
The default currency is used for all fields with cost and budget values in this project. The selected currency also determines the number format displayed.
Hourly rate
The hourly rate is used when automatic calculation is enabled in planned/actual cost fields.
Alternatively, individual person hourly rates can be used instead of the flat project rate. Enable the option Use person hourly rates instead. In this case, the hourly rates stored for assigned people in the Admin Center are used for cost calculations.
Note
Individual person hourly rates are maintained under Settings > Members and are reserved for the Owner role. When person hourly rates are changed, a recalculation of costs for all affected projects is performed once per night. A manual recalculation for a single project is possible via 3-dot menu > Recalculate costs.
Logo for print output
A project-specific logo can be stored for print output - for example for status reports or task prints. A PNG with transparent background at 180×90 px is recommended. In print dialogs, you can choose whether to include the logo.
Lock time tracking
By default, time can be logged against all tasks in a project. When this setting is enabled, time tracking is locked for the entire project.
Archive project
Archived projects are hidden from the normal project overview and can be accessed via the Archived projects filter. Archived projects cannot be edited - only the master data remains viewable and editable.

Use project as template
Marks the project as a project template. Template projects are hidden from the normal project overview and can be displayed via the Template projects filter.
Note
Parent projects cannot be used as templates.

Lock workflow changes
When this option is enabled, the workflow for this project can no longer be changed by other users - administrators are excluded from this restriction.
Filter for tasks used in status report progress calculation
By default, all tasks in the project are included in the progress calculation for status reports. This filter allows the calculation to be restricted to a defined subset of tasks - for example only tasks in a specific folder or of a specific type.

FAQ
Where do I find the project settings?
Via Manage project (⋯ options menu at the top right of the project) > Settings tab.
What is the difference between archiving and setting a project to inactive?
An inactive project remains visible in the project overview but is excluded from notifications, widgets, and evaluations - ideal for pre-planning. An archived project is fully removed from the normal view and can no longer be edited.
Can I set a different workflow for individual tasks?
Yes - the workflow set here only applies as the default for new tasks. Individual tasks can use a different workflow, as long as the Lock workflow changes option is not enabled.
Who can edit the project settings?
People with edit rights on the project, as well as admins. If the edit restriction is active (lock icon), only authorized people and admins can make changes.
Can I use a parent project as a template?
No. Parent projects cannot be used as templates. Subprojects can be saved as templates - the parent project assignment is carried over from the template.
