35 New Features • 50 Improvements • 65 Bugfixes
The focus is on smenso AI 🪄: use it directly in the task dialog, create projects with it or extend existing ones, generate status reports, and analyze your data with AI Insights. As an admin, you enable AI in the workspace and keep an eye on your AI credits.
There is much more to discover: number flavors support units, decimal places, and thousands separators, you can reset your plan to a baseline in the Gantt chart, you set your work location via the avatar menu, and admins can block file uploads for the entire workspace. We have also improved lists, filters, folders, time tracking, exports, and the API in many places and fixed numerous bugs.
✨ New Features
✨ smenso AI in the task dialog
With this release, smenso AI comes straight into your tasks. It helps you write titles, descriptions, and comments, summarizes tasks and comment threads, and is available as a chat.
- AI chat for the task: In the task dialog, you chat directly with the AI about the task at hand. Simply press Enter to send. For ambiguous requests, the AI chat asks follow-up questions and replies in the language of your input. References are clickable links with hover cards. You can also use image or PDF files, for example, as context in the chat. Learn more
-
New formatting bar with AI button: The formatting bar is cleaned up and grouped by topic. Split buttons run the main action with one click, and you open further options via the small arrow. Tables, links, project flavors, images, videos, code, and emojis are collected under
Insert. At the end of the bar, you find the new AI button withGenerate,Improve,Continue writing,Translate, andRephrase. Learn more - AI in the description: You apply AI functions to selected text or at the cursor position in the task description. For translations, there is a dedicated language menu with search and frequently used languages, and you can translate into any language.
- AI for the task title: Next to the task title, you find a subtle AI icon that turns colored when you hover over the title line. One click opens the AI dialog, which writes or improves your title. Learn more
- AI summaries of task and comments: With one button, you have the whole task or the comments summarized. The summaries are saved and are ready for everyone the next time they open the task – and you can regenerate them at any time. In line with this, the tabs in the task dialog now have icons and hover effects, as you already know them from the project tabs. Learn more
- AI on comments: AI functions are also available on comments. Images embedded in the text are taken into account, and the results appear clearly as a list in the card. Learn more
- Notices and permissions in the task dialog: The AI in the task dialog shows errors and reports texts that are too long. Without write permission, AI editing and chat actions that write are blocked. After an AI action, the focus stays in the input field.
-
Tidier header area: The header area in the task dialog has been rearranged. This gives the AI button more room without making it feel more crowded. You now find
TemplatesandMy personal folderin the three-dot menu. Templates also have a new, consistent icon everywhere.
🚀 AI: Create and extend projects
The AI creates new projects for you and adds new tasks to existing projects.
-
Project creation with AI: A third option for creating projects is now available:
Create with AI. The dialog offers two ways to provide input: WithDraft new, the AI drafts folders and tasks from your description. WithAdopt plan, it adopts the structure from uploaded files (PDF or image) or from pasted text. Project fields pre-filled by the AI are marked, and you can refine suggestions in your own words, e.g., "smaller tasks", including an undo function. During creation, you see the progress and then land directly in the new project. The tasks appear there in the suggested order. Learn more - Extend project: The AI also adds new tasks to an existing project. You review the suggestions in a preview, and the tasks are then created in exactly this order and structure. Learn more
📝 AI: Status reports
-
"Create status report with AI" dialog: Choose a level of detail, and the dialog automatically determines which data is included and how many tasks are considered. With the time period, you set the start date; the report always runs up to today. You adjust the individual switches under
Included dataas needed and reset them when necessary. After creation, a notice indicates that it is an AI draft. Learn more -
Entry points for AI status reports: You find
New status with AIon theNewbutton, in the context menu, and on the button of the status widget, as well as in the initial state without a previous status report. In a draft, you start the AI via the dedicatedAI statusbutton in the header area. For already published status reports, the AI button does not appear.
🐙 AI Insights
With AI Insights, a live dashboard of key figures, charts, tables, and findings is created from a description or a list view. The AI chooses widgets, fields, and filters; smenso calculates the numbers itself.
-
Create Insights with AI: In the project, you find the new
Insightstab (Beta). You describe what you want to see, or start from a saved list view, and the AI suggests a dashboard. You undo changes made by the AI step by step withUndo, and for ambiguous terms, the AI asks follow-up questions. Learn more -
AI Insights in the project portfolio: The
Insightstab is also available in the project portfolio, also still labeled Beta. The function is the same as in the project; the dashboard here simply evaluates the projects of the portfolio instead of the tasks of a project, for example by status, costs, and dates. Learn more -
Explain widgets: With
Explain widgets, you first get concise facts without AI and, on request, an AI assessment including a recommendation and rationale. The explanations appear in the widget footer; for small widgets such as KPI tiles, as a tooltip on the speech bubble icon. In print and as PDF, they appear as an appendix, "Widget explanations", and the widgets are numbered. -
Display and overview: Among other things, you can choose the chart types Rose and Sunburst, separate donut and pie charts, cumulative charts, and the groupings
WeekdayandMonth of the year. You also get an overview of your Insights with a mini preview, search, and filters, filler tiles with facts from the project, four color schemes, and a color mixer for your company colors.
Note: People are anonymized for the AI. It is therefore best to phrase your questions to Insights without personal names.
⚙️ Managing smenso AI
- Enable AI in the workspace: AI functions are disabled by default. Workspace owners enable them for the entire workspace in the Admin Center. The decision can be changed there at any time.
-
AI credits in the Admin Center: As a workspace owner, you keep track of your workspace's AI credit consumption in the Admin Center. With
Add AI credits, you extend your quota. If AI is disabled, the reports are hidden as well. Learn more -
AI usage in the workspace settings: Admins and members can also see the consumption, in the avatar menu as well as in the workspace settings under
AI>AI usage. The page shows what percentage of the AI credits has been used in the current billing period and when they will be reset. Below, you analyze consumption by time period (This month,Last month,Last 30 days,Last 90 days,This year). You see consumed credits and AI calls for the entire workspace and for yourself, broken down by area, such as Insights, Planning, Task, or Chat. Learn more - Email when AI credits are running low: Workspace owners receive an email when the AI credits are about to run out.
-
Exclude flavors from AI analyses: If the visibility of a flavor is restricted to
Selected people/teams, you find the new optionDo not include in AI analysesin the flavor configuration. This keeps confidential content out.
📐 Gantt: Restore baselines
-
Reset plan to baseline: In the three-dot menu of a baseline, there is the new entry
Restore. After confirmation, the start date, due date, duration, and milestone flag of all tasks are reset to the saved state. Ideal if you want to return to the original plan after rescheduling. Learn more
Note:
Restoreis available for baselines created from this release onward. You can still rename and delete older baselines.
📋 List and tasks
-

Last commentcolumn. It shows a preview of the most recent comment, as you know it from the description field. If there is no comment, a dash appears. -
Checkboxes for planned and actual fields: The checkboxes on planned and actual fields, e.g.,
From time trackingfor actual effort, are now also available in the list. Activated checkboxes are always displayed; inactive ones appear when you hover over the cell and can be set directly with a click. -
Move in the context menu: With
Movein the context menu of the list and in the task details, you move tasks to another folder, to another project, or under another main task or subtask of any level. This also lets you move subtasks into a folder, where they become main tasks. The menu is also available inMy tasks.
👥 Project roles (Enterprise feature) and project manager
-
Link project role with project manager: In the global management of project roles, you mark a role as
Corresponds to project managervia the context menu. It is then marked with a colored tag. The project manager in the master data and this project role stay in sync automatically, in both directions and including deputies. This also applies to changes via the API. - Project managers can edit master data: Anyone entered as project manager automatically receives the permission to edit the project master data, even if access to it is restricted. If the project manager is removed later, the permission remains and can be adjusted manually if needed.
- Simple org chart view: You can now switch the project roles tab to a simplified org chart view. This lets you see the structure of your project team at a glance.
- Print project participants: In the widget and in the project settings, you print a complete list of project participants, grouped by project roles with description and people. With checkboxes, you decide whether unneeded and unfilled roles as well as person flavors are included. The person flavors of directly assigned people that are enabled for person details and print output are shown. Empty notes are hidden in the printout, and the order matches the widget. You can now also sort the project roles themselves conveniently via drag and drop.
- Assign a person to role tasks: In the project roles area, you find a new menu for each person. With it, you assign the person to all tasks to which the project role is assigned. In the dialog, you decide whether the role is kept in the tasks or replaced by the person. You also reach the deputy assignment via this menu. If there is nothing to do, the dialog now states the reason: either the person is already assigned everywhere, or the role is not assigned to any task.
- Project roles as their own tab: Project roles are now available as a standard tab. It is hidden at first, and you show it when needed via tab management.
- Project roles as watchers in task templates: In task templates, you can now store project roles as watchers. If the role does not exist in the target project, it is simply ignored when applying the template.
📍 Profile: Set work location
-
Work location on the avatar: In your avatar menu, you use
Set work locationto specify where you are currently working:Remote,Office, orOut of office. WithNo selection, you remove the selection again. Your current work location is shown directly in the menu and appears with a matching icon in the person selection dialog. This lets you see at a glance who is reachable where. Learn more
🧩 New "Button" widget
-
Button widget: With the new widget type, you display flavors of type
Formulathat you have designed as a button in a compact way. The widget shows only its title and the buttons. If you select several flavors, they are lined up side by side.
🔒 Workspace setting: Disable file uploads
-
Block uploads workspace-wide: Administrators can prevent file uploads for the entire workspace in the workspace settings. The upload buttons for attachments on projects, tasks, and status reports are then grayed out and show the tooltip
Disabled by administrator. Uploads via the API are blocked as well. Linking OneDrive and SharePoint files, inserting images into the description, and files that have already been uploaded are not affected. Learn more
🌟 Improvements
🔢 Flavors: Number format and placeholders
Number flavors now show much more than just "0.00": units, decimal places, and thousands separators make amounts, efforts, and quantities understandable at a glance.
-
Units, decimal places, and thousands separators: In the configuration dialog of a number flavor, you find the new
Formatsection. There, you choose a unit from a list grouped by category, such as currency, percent and ratio, time and effort, quantity, length, area and volume, weight, or energy and sustainability. Alternatively, you define your own unit with up to 10 characters. For currencies, you decide whether the symbol (€) or the abbreviation (EUR) appears. The position depends on the language, e.g., "1.250,00 €" in German and "€1,250.00" in English. In addition, you set 0 to 4 decimal places and the thousands separator. In lists and tables, the unit appears in the column header; in the task details, directly next to the value. The Excel export also adopts the unit, decimal places, and thousands separator in the number format. Learn more -
Placeholders for text and number flavors: For flavors of type Text and Number, you can now store a
Placeholder textin the configuration. It appears in gray in empty fields in the task details and disappears as soon as you enter something. In the flavor manager, you can show thePlaceholdercolumn and quickly maintain several values. Ideal for showing colleagues directly what belongs in a field.
Note: Rounding applies only to the display; the stored value remains unchanged.
🏷️ Labels and flavor menus
The selection menus for labels and flavors have been rebuilt and are much clearer, especially when you work with many fields.
-
New labels menu with categories: The labels menu in the list and in the task details now has the tabs
AllandSelected, including counters. The menu stays open for multiple selection, and in theSelectedtab, you sort your labels via drag and drop. Labels can also be organized into categories. In the task details, you create new labels directly via the search: if there is no exact match, you create the label via theCreaterow or by pressing Enter and assign it immediately. Learn more -
Flavor selection sorted and grouped: In filters, column selection, and the task dialog, flavors now appear sorted one below the other and grouped by category, flavor type, or context. In the column selection, you switch between the tabs
Standard fields,Flavors, andShown, also using the arrow keys. You move shown columns with Ctrl + arrow key. TheAdd existing flavordialog also offers the new menu. - Flavor configuration directly from the column header: You now open the configuration of a flavor directly via the column header in the list. The value selection for single-select and multi-select flavors has also been tidied up.
🧩 Flavors: More improvements
-
Block editing for guests: If a flavor is visible to
Everyone, you can now additionally enableBlock editing of values for guests. Guests then see the value but cannot change it. The setting is also visible in the flavor manager and in the flavors export. Learn more - Project master data flavors in descriptions: Project master data flavors that you have inserted into a task description now sync with changes in the project master data. If a task template contains such flavors, the current value from the project is inserted when creating a task and when applying the template to an existing task.
- Checkbox flavors in the editor: Checkbox flavors from the project master data can now also be checked in the task description. The change works in both directions, i.e., between the description and the master data.
-
Relation flavors with project templates: Relation flavors that refer to projects now also offer project templates in the search. These are marked with the tag
Templateand can be filtered specifically. - Specific workflow status in relation flavors: Relation flavors now show the specific workflow status, including emoji, in the portfolio list, in the list, and in the task dialog instead of just the status category.
- Location flavor: For the location flavor, address components such as house number, street, postal code, and city are now additionally stored in a structured way and are thus also available for integrations. In addition, the address search no longer hangs and reliably returns results for your most recent input.
📁 Folders
-
Read and write access to folders: In the folder options, you can now specify who has read or write access to a folder. With
Manage access for new tasks, the permissions also apply to newly created tasks. WithApply to tasks, you transfer them to existing tasks. The folder options dialog has been reworked for this. Learn more - Manage folders in the portfolio list: If you group the portfolio list by project folder, you now create, delete, or move folders directly via the context menu. This works just like on the board.
🔍 Filtering, sorting, and grouping
-
"Unassigned" group: If you group the list or board by
Assigned, tasks without assignees now appear in the groupUnassigned. In the list, tasks of removed users end up underUnknown user. In the portfolio, grouping byProject managershows the groupNonefor projects without a project manager. -
New filter criteria: You can now filter by
Workflowin projects,My tasks, andAll tasks. WithApproving status, you find tasks inAll tasksandMy tasksthat are waiting for approval for a specific status. InAll tasks, you can additionally filter byProject manager. -

My tasks, you can now also filter by properties of the project in list and board, as you know it from the workload. Date flavors from the project offer the same operators as other date fields. -
Filter and show watchers: You can now filter by watchers in the project task list and in
All tasks, by people, teams, and roles. There is also a newWatcherscolumn, read-only for now. -
Tasks from inactive projects hidden:

🌳 Subtasks
- Complete all subtasks: When you complete a main task, you can now complete all subtasks across all levels as well. If you hover over the number of subtasks, the tooltip shows them as a clear tree.
- Convert to deeper levels: A main task can now also be converted into a subtask of a deeper level.
↕️ Drag & drop in the list
Moving tasks via drag & drop in the list has been reworked and now works reliably. Learn more
- Insertion position: A blue line with an indicator above or below a row shows that the task will be inserted before or after it on the same level.
- Subtask: If you drag a task onto the middle of another task, it becomes a subtask of that task, even if the target task does not have any yet. A frame around the row shows this, and the target task expands afterwards.
- Preview: A compact, freely movable preview of the dragged task follows the mouse pointer.
- Folders: On folder rows, the task always lands in the folder, regardless of whether it is expanded or collapsed. Inserting at the very end of a folder or the list also works.
- Main tasks: You move a main task under an expanded main task with subtasks without an error message appearing.
- Multiple levels: Subtasks can be moved again, even if they have subtasks themselves. Tasks from the third level land one level higher in the right place, and no empty rows remain after moving.
- Level limit: If the move would result in more than seven levels, the task jumps back and you receive a notice.
📋 Task templates
- Multiple hierarchy levels: Task templates now save all levels of subtasks, not just the first. Learn more
-
Effort forecast: The
Effort forecastfield is now carried over from templates, as well as when duplicating tasks.
📅 Gantt and planning
- New icons for automatic scheduling: Preview and automatic scheduling have clearer icons in Gantt and timeline. After scheduling, the icon shows at a glance whether forward or backward scheduling was used.
- Circular dependencies: Before automatic scheduling and critical path calculation, smenso now checks the dependencies for cycles. If one is found, scheduling no longer simply aborts, but you receive a notice about the problem.
⏱️ Time tracking
-
Project times for project managers: Project managers now see the new
Project timestab underTime tracking. It shows the times of all people in their own projects. The project filter offers only projects in which you are the project manager. Ideal for reviewing efforts without opening every task individually.
📤 Export and formulas
- Excel export adopts the view: If you export a view of project tasks or from the portfolio to Excel, the export now adopts the sorting and filter of the view.
-
Export formula results as text: If you mark a formula result as text with
asType("string", …), it is now exported exactly as displayed in the interface, for example with leading zeros. In the time tracking export, text results of formulas now appear as well. -
projectId in formulas: In formulas,
projectIdnow also returns the project number when project IDs are assigned automatically, in the interface as well as in the export.
🔌 API and integrations
- Apply a task template to a task: With a new API endpoint, you apply a task template to an existing task. This is helpful when a template changes and you want to update existing tasks.
-
Retrieve members, teams, and project roles: New endpoints return all members of the workspace. In addition, you retrieve teams and their members via
Get teamsandGet team members. The project export via JSON now contains all project roles (Enterprise feature), and CSV and Excel contain the role titles. -
Scheduling modes via API: When you change tasks via API or flow, smenso now calculates start, due date, and duration exactly as in the task dialog, with
Fixed durationandFixed datesalso around public holidays. - Status change after approvals in the feed: When an approval is granted, the feed now additionally logs the change of the workflow status. This allows webhooks to react to this status change as well.
✏️ Editor and comments
- @mentions with a new look: @mentions now appear in the primary color with slightly bolder type. If you hover over a mention, the person's detail card opens, also for teams and roles.
-
Descriptions shortened by default: Description fields in the task dialog and in the project master data are now shortened by default. This saves space and scrolling. With a click on
Show all, you expand the full description. - Comments: You expand completed comments via a link. In addition, a bug in the highlighting of comments has been fixed. Learn more
🎨 User interface and usability
-
"New" and other buttons reworked: The split button
Newand other buttons now appear in smenso's primary color instead of cyan. With an active filter, the new filter button shows the number as a badge, and you reset all filters directly via the X. Alignments have also been improved. - Enter and Escape in confirmation dialogs: In confirmation dialogs, Enter now triggers the confirming action. For delete buttons, this is intentionally disabled. Escape closes the dialog.
- Reliable saving: The save indicator now correctly reports rejected save operations instead of wrongly showing "Saved". Tasks that you opened from the home area behave more reliably when they drop out of the widget, for example because you complete them or remove yourself.
- More speed: The team selection responds faster, relation titles in the portfolio list load more efficiently, and duplicating tasks is quicker.
- Distinguish teams and roles: Avatars of teams and project roles (Enterprise feature) now carry a colored badge. The tooltip additionally shows Team or Role before the list of people. This lets you see at a glance what you have selected.
-
Person as avatar: In time tracking and absences, the
Personcolumn is now displayed as an avatar. -
Mute notifications per project: Via the options menu in the project, you mute notifications for a project with
Mute notifications. @mentions are still sent. If you use a project as a template, the option is set automatically. If you follow a muted project, the watch menu points this out to you. Learn more
